Small Business Setup – Set up Meta Business Suite

Advertising on Facebook and Instagram is a critical part of any small Australian business.

The problem with Facebook is that the ‘back end’ – that is, the part that we owners see, is super messy and complicated.

This video won’t teach you everything, but it will show you how to set up your Meta Business Suite, and learn to navigate around so you don’t get overwhelmed by all of the different bells and whistles. In a future video, I’ll go over how to add advertising accounts, and get up and running with simple, but effective, marketing.

So today we are going through one of the most frustrating tasks that you can do during your business setup, and that is setting up your meta business suite.

This is a really important task if you want to have a Facebook page, a WhatsApp number, an Instagram, or any kind of Facebook or Instagram marketing. But it is frustrating because while the front end’s all beautiful for the normal customers, the back end of Facebook is really quite messy and confusing. So today we’re going through all of that as a long tutorial. I’m going to go through the process of setting up your Meta Business Suite account, and I’m going to discuss some of the complications along the way.

So first, let’s talk about what’s actually going on here. The first thing that we need to think about is what we’re trying to achieve. And usually that’s going to be Facebook page or an Instagram page.

They’re going to instant messages and Facebook Messenger. And on the back end, you don’t actually see, Instagram messages separate from Facebook messages. You just see messages in your meta business suite. So that’s part one. Part two is if you have a business WhatsApp number, that’s going to be over here. It’s going to come in and your WhatsApp number is actually owned by your Meta Business Suite account.

Okay. So before we jump in too far to that, the first thing that we need to remember is timing. Where does this actually happen?

So to set up your meta business suite, I generally recommend you already have your SIM card for your business. You already set up your WhatsApp business account. And then before you set up your Facebook pages, we’re going to do meta business suite. Let’s look at the computer now.

So the page that we are interested in is business. Facebook dot com. So you can see at the top here, facebook dot com and the URLs after that always look super messy, but you don’t need to remember any of these. You just need to bookmark the page business.

Facebook dot com. This will always redirect you to the correct place. And what it’s going to ask you to do is to either log in with Facebook or log in with Instagram. And this is one of the first annoyances of the meta system, which is that to prevent spam from happening and to combat hacking, you have to use a personal business account.

You can’t use a separate business Facebook account. So that means that my personal Facebook that I use to link up with my friends and family, that is actually the one that I’m going to log in with to create my business account.

So what I’m going to do is I’m going to hit log in with Facebook and just like normal, I’m going to log into my personal account.

Now, sometimes people try to get around this by making a second Facebook account.

Yes, it can work sometimes, but it can also cause you huge frustrations down the road because your account may get banned after you put in substantial time setting it up once they figure out that that’s actually a fake Facebook account. So I’m going to use my real details here, and I’m just going to switch off the camera for a moment. Okay. So I have logged in as my personal account.

And now what I’m going to do is on that business. Facebook dot com page, I have clicked create a business portfolio.

And I’m not going to show you what that looks like because I’ve already created my business portfolio. But the first thing you’ll see on that page once you’re logged in is create a business portfolio. And all you need to do is put in your business name, your email address, your details, and your phone number, and it will just take you through.

So once it takes you through, you’re going to be presented with this page from here on. And this is the big one which we have to deal with and understand today.

So let’s just go through what we’re actually looking at. You can see up here, this is my personal Facebook account that I’ve been logged into. And over up here, this is the business portfolio that I’m currently logged into. So you can see I am logged into Andy Small Business Consulting.

Now many of you will actually be running multiple businesses or have run businesses in the past and they’re still operational. If you do, this is where they exist. This is the business portfolio login button. So online, it actually shows four separate businesses because I am still a member of separate business units. So make sure you’re always logged into the correct one before you get started.

Now on this main page, let’s go through some of these tabs here and have a look at what’s going on.

The first and most important one you need to fill out is your business info.

You can’t get your account verified until all your business information is correct. And you basically can’t do anything until you have a verified account. So let’s go through this now.

We, you can see at the top, we have Andy small business consulting. That’s fine. And I’m going to edit my business details and I’m going to put them in now.

And I’m in Australia. I’m going to put my actual dress and details here. So I’ll gray these out.

And the reason you needed your WhatsApp business number, your SIM card for your business is that you need to put in your business phone number here. So you already need to have your business phone number. And ideally you already have a domain name.

So I’m going to put that in down here.

Now the tax ID down here.

I’ve always put my ABN.

I’m not one hundred percent sure if that’s correct, but that’s what I put in and it’s always been fine. So I’ll put that in now.

Okay. So now I have all of my legal business details in there and you can see down on this part here, it says business verification unverified.

So one of the first things that we’re going to actually have to do is verify our business. So if I click this now and hit view details, it’s going to tell me what I need to do to verify the business. And you can see down here, it says business verification, and it’s asking for the verification use case.

And it’s already chosen one for me.

We need to set a few things on this page while we’re going. So let’s do that. Who’s required to turn on two factor authentication. Admins only is pretty good. And let’s hit start verification.

Okay. So you can see what’s involved. We need to provide our business name, address, phone number, email, and website for verification.

You need to confirm how they can get in touch with you so that you can stay legal and you need to upload accepted documents. Now the accepted documents that they’re going to be after should be proof of business registration. And it depends on the country you’re in. It is fairly straightforward for most businesses.

You can see the bit that we’re looking at is here. We’re looking at, articles of incorporation if you are a incorporated business or a business registration or license document, a business tax document, a business bank statement, and a utility bill if you have a physical address. So that’s the kind of stuff that we’re after here. Let’s get started.

And I’m verifying in Australia. That’s good.

I’m actually a sole proprietor at the moment because I’m starting small with this one. There are many different reasons to start as different things. I’ve formerly run a large private limited incorporation structure, but for this particular job, sole proprietor is the one that I’m going for.

And yes, we are officially registered.

Okay. So we need our rego number, which I’ve got, and that’s all it is. Rego number, registered business name.

Need to make sure that my address is in correctly, And I need to put in my business phone number here in my website so that they can check that those things exist.

And it’s thinking, don’t be alarmed if it takes a while. And here you go. The reason it was thinking is that it has actually found us from public records. So one of the nice things about Australian businesses is that the Australian government actually has wonderful technology. It’s some of the best in the world compared to some of the stuff I’ve worked with in the past. And so it’s found me, it knows my details. And so I’m going to select it there and go next.

Okay.

That’s fine.

And I need to upload a personal identification document that verifies my connection to the business. So let’s go ahead and do that.

We’ll need an official government issued ID or official document. I believe it’s going to ask me for a driver’s license from memory. Let’s find out. There it is. So I’ll grab my driver’s license and I’m going to upload it here. So I’m just going to close the camera for a second while I go and grab my driver’s license.

Okay. And we’re back. And sure enough, I did run into some trouble there. My driver’s license was saved as a PDF and they wanted a JPEG. And I went to upload the JPEG and it wasn’t enough pixels. So I had to go and scan my ID again to make sure it was, large enough pixels to get through, but we got there in the end. Make sure you have your documents in order when you get to this stage.

Preferably, everything’s in a PDF format and everything’s in a JPEG format. Then you won’t have so many problems. And you can see here it says identity confirmation in progress. It takes forty eight hours, so that’s no problems.

So you can see I’m now verification status in review. That’s what we want to get to as our first step. It’s going to take at least forty eight hours. There may be some back and forth depending on the complication of your business type and your identity.

If you’re a PR or some other kind of level of citizenship, you may have more trouble, may take longer. Similarly, if you’re in health or any kind of financial system, it may take you longer to get sorted, but that’s not a problem. You just need to start.

So let’s jump through some of these tabs now, because we have done the first and most important job, which is to get our verification under review.

Mine’s actually going to be a bit more complicated than yours, probably because I am getting developer level access so that I can do IT tasks, such as social logging, which is a bit more complicated than most of you will need.

So the business info tab is looking good so far. Our address now info is in there. We do have one thing that we haven’t dealt with yet, and that’s two factor authentication. We need to enable two factor authentication as soon as possible.

And that’s to protect us from hackers. For those of you who don’t know, two factor authentication is where you type in your username, your login password, and then it goes, what’s the special code that we sent to you on your phone. That’s two factor authentication. We need to make sure you’re getting that started.

Okay. Now let’s generally just scroll down and go through all of the things.

You can see here that my info, my name’s there, and it’s requiring us to confirm our email address. So this is the next step.

It should have sent you a confirmation email and you need to verify that. So I’m going to check my phone now, and I’m going to see if that’s come through.

Okay. And I have my confirmation email here. It says it’s from notification at Facebook mail dot com. So that is a real Facebook address, even though it doesn’t say Facebook dot com. Facebookmail dot com is one of their addresses. I’m going to hit confirm now and hit continue.

Okay.

And I’ve hit a little bit of a complication here, which is that I need to actually be logged in to confirm that. So I’m not logged in on my phone right now. So I’m going to open the email on my computer instead. So it logs through. Okay.

And I am back and this is what I’m talking about, about the frustrations in the meta process is it’s usually just a little bit harder than you think it’s going to be. But I clicked that link finally while I was logged into Facebook. And now as you can see on the screen, it says active and everything’s good. Let’s go back up to business info, and we’ll scroll down and you can see that I have now been verified for my email. So that’s fantastic.

Okay. Next step on this. Do I want business notifications on Facebook?

And what I want to tell you right now is no, you do not. This is one of the worst features in the Metabusiness Suite. My personal Facebook account has this switched on for one of my important accounts, And I get about five hundred notifications per day about ads and account restrictions and messaging and all sorts of other junk. And I basically can’t use my personal Facebook account anymore because it is so cluttered up with Facebook business stuff. So what I would recommend is that you try to get all your communications from Facebook to your business email, and you turn off the notifications on your actual personal Facebook account.

That’s going to keep your Facebook personal account still usable and enjoyable if you still use one. So I’m going to turn off business notifications on Facebook.

Okay. And hopefully that’s going to solve that problem. And we’re still in that initial business info tab. Now here’s an interesting problem that I wanted to raise with you all, which is when you hit return home, it doesn’t actually send you back to the place that you’re you were hoping to be in. In this case, it has actually changed me from my Andy small business consultant business portfolio, and it’s thrown me into one of my other business portfolios.

And even worse than that, it has taken me out of the meta business suite and it’s thrown me into Facebook messaging. So their return home buttons generally don’t work and it’s quite confusing. So what I recommend you do when that happens is you just go back to business. Facebook dot com.

And then at the top left, make sure that you are in the correct business portfolio.

And now I’m back where I actually want it to be. It’s a really silly little thing that Meta does, and it’s because they don’t actually need it to be good because they know that us as business owners are going to use them regardless. So they focus all their design power and user experience power on the front end users. So when these things happen, just reset by just going business dot facebook dot com, choose the correct business portfolio, and you’re back in business.

That’s the easiest way to get back to where you want. And even better, just bookmark this homepage here, put it in your toolbar so you can just click it and get straight back to where you want to be. Okay. So let’s go through these tabs now so that you can understand what you’re looking at.

And before I do that, I do want to bring up that there’s a bit of a complication going on here, which is you as a business owner are not necessarily the best IT person to be doing this job. And I do believe in delegate, delegate, delegate, but I also never defer your responsibility and understanding of the programs underneath because you still have to hire the IT guy, and you still need to tell the IT guy what you want them to do or IT girl. So from this point forward, everything we do from here might be done by your IT person, but you need to understand how it works so that you can keep up with it. And if your IT person ever has an issue, you’re ready to jump in and find a new IT person or do it yourself. Very important. So let’s go through.

So let’s go to people.

And you can see here, currently there is one person in our business portfolio and that is me.

And I have full control of everything, meaning that I’m the super administrator.

And you can see when I was last active. This is not important if you’re a one person show, but if you have twenty or thirty staff and maybe five or six of them actually have access to Facebook, knowing when they were last active lets you know two things.

One, if they’ve been logging in when they shouldn’t be logging in, but also two, if they haven’t been logging in when they should be logging in. Between these two things, you can figure out a lot of what’s going wrong behind the scenes. So the reason we want to look at this page today is you can invite people to your organization.

And all you need is you need their email address and it has to be a real person just like you had to use your real Facebook account. So once you know who your IT person is, you can get to this page and you can type in their personal email. I’ll just say it guy at andy dot sorry, at voltman dot me.

But you have to use their real email here. This is just an example. And then you can give them temporary access with an expiry date, which is really useful for, web devs and IT support from outside your business, or you can give them permanent access if they’re part of your team.

And then we go to next, and we have to assign them access.

So what you want to be very careful of is that you’re not giving them too much access to your account because every time you give someone more access, it’s a chance to get hacked that’s outside your control. So partial access is the default option. And you can see here, it says view people with full control. Everyone added to the business portfolio gets basic access.

They can work only on pages, Instagram accounts, or other business assets that are assigned to them. And this is perfect. This is what most people need to run in the business. So if you think about it, if your front desk needs to be able to access your Facebook webpage and your Facebook messenger so that they can take bookings.

This is what they need. They need basic access.

Now this other one, full control.

Full control is for admins. This is for people who are actually going to own this account.

And generally you should always have two admins if possible. So if you ever lose access to one of the admin accounts, you can still actually get into your business portfolio. So with my first one, I actually used my business email as the sign up. But if you have a family member or someone who you can put as a second login for safety reasons or a backup account for safety reasons, that can be quite useful. But you do need to make sure they have two factor authentication as well so that it’s nice and secure.

Okay. So after we’ve done the assign access tab, we get to the assigned business assets tab.

And this one can sound a bit confusing at first. What is a business asset? Basically, a business asset is any single thing within your business suite. A Facebook page, an Instagram page, a domain, a web app.

Every single thing is called a business app. So when you open this up on your account, if you’ve just started your business portfolio, it’s going to be empty, meaning that you actually can’t assign privileges to anything at all. I already have a few things set up in mind. I have a a web app and I have a domain set up here, but I don’t have any Facebook pages yet that I can actually give people access to.

So what that means is that inviting someone to access a Facebook page isn’t going to work yet because you need to actually go and create the Facebook page in your account first. But once you’ve done that and you come here, it’s going to pop up here, the Facebook page, and you select the one that you want and you hit confirm.

And sometimes there’ll be different options available and you can review them and just make sure that you only give people the access that they actually really need.

For example, a calling staff, someone who receives messages and then gives people calls to to book them into appointments, they don’t need access to your advertising account. So don’t give it to them, and that’ll just make your account all that more secure.

So once you’ve selected the things that you actually want to assign to the person, you hit next, and it’s going to review it. And you can see right now it says invite with zero assets. It’s not going to say that if you’ve actually assigned them a Facebook page. It’s going to say invite with one asset or invite with two assets, and that’s what you want. Now I’m going to hit back because I don’t have any assets to invite a person to use yet.

And it’s really important that you remember that if you’re going to invite people to use your assets, and these are real human beings with real Facebook accounts, you have to make sure that that access expires when it’s no longer relevant. So you need to be going to the three dots over here, and you need to be removing the person from your business portfolio as soon as they’re no longer working for you. Super important.

Alright. So let’s look at these other tabs. Next one we have here is partners.

Now partners is for your advertising agency.

If you are signed up with an advertising agency, they have their own business portfolio and advertising portfolio, and they can actually link theirs to yours so that they can control your things. So what what they’ll do is they will ask you to come in here, add and give a partner access to your assets. So what that does is it allows the advertising agency to have access to your Facebook page and things like that.

But if you need to use this, the agency will tell you what they need and how to do it. So no problems. Don’t worry about this one yet.

Lastly, system users. It sounds like it’s for simple logins at first, but this is actually for software to talk to software. Software.

When you get a more advanced business, you might be able to make your Facebook page talk directly to your content management system and your customer relationship system. And they may become system users, depending on how they work it out. If you don’t know what this is, just pretend it doesn’t exist.

Okay, now down to the meat and bones of what you need to see.

And what we’ve got here is the pages button, and we’re talking Facebook pages. Down below is Instagram accounts, which is a separate one. So on pages, hopefully, you haven’t created your Facebook page yet, because if you did, that Facebook page is linked to you as a human being rather than linked to your business portfolio.

If you have created it already, go through the process to add an existing Facebook page and give the ownership to your business portfolio. But otherwise, how you create a new Facebook page is down here. You create a new Facebook page. You click that one.

You give it a name, a category, and a bio, and you go through the process. And once that’s done, your business now owns a Facebook page. Then you can go over to that Facebook page and edit it separately, which will be a different video.

At the same time, Instagram accounts is down here, but Instagram accounts follows a different process. Just to confuse you a little bit further, you’ll see here that it actually says you’ll be asked to log in to the Instagram account you want to add. And once you log in, it will be moved into your business portfolio. So what that means is while you create your Facebook pages in the business portfolio, you actually have to create your Instagram separately first and then link it in. But you can also have a Google and see if there’s a better way to do that.

Lastly, down here is the WhatsApp accounts. And hopefully, you’ve already opened up your phone. You’ve downloaded the WhatsApp for business app, which is a separate app from WhatsApp, and you have set up a WhatsApp business account with your business phone number.

If you have, you hit link a WhatsApp business account and away you go.

And if you haven’t, you can create it here. Either way, we need that LinkedIn and locked in so that Facebook understands you own it. It’s real. It’s verified.

On this same page, there are two buttons. There’s actually three buttons that I haven’t talked about. Apps and business asset groups. I want you to ignore for the moment. These are to do with web developers and very, very large businesses that need to create divisions within their business portfolio page.

It’s really not the realm of small business. There is another one here, though, which is very important, and this is ad accounts, because there’s no point having a Facebook page or an Instagram page if we’re not advertising because customers don’t come out of thin air. So when you’re ready, you come into here and you click add an ad account. But before you do this, make sure that your business has finished the verification process. And that’s because ad accounts require verification, and they’re under a lot of scrutiny. Ad accounts often get banned for practically no reason at all, simply because a competitor might have reported your account.

So it’s important to get your verification in place so that when you create the ad account, there’s as little friction as possible.

One thing I do want you to know at this point is that while you only have one meta business portfolio, you can have several ad accounts under it. And there are lots of different situations where this is a great way to go about it. If you have two outlets, each outlet can have an ad account, and therefore the billing is separate, and you can manage expenses per outlet. If you have two different divisions in your business, say you market health products and then you also market nonhealth products, they should be different ad accounts because your health products will be under more scrutiny and licensing issues than your nonhealth products.

And so you really need to decide on which ad accounts you need for which services. Breaking it up a little bit can really assist in keeping it clean and stopping your account from getting banned.

I’m not going to create an ad account right now because I’m not verified yet, but this is where we’re going to do it when the time comes.

Now let’s look at some of these other tabs. And I always recommend that people collapse tabs so that they don’t get overwhelmed by the buttons.

Data sources is the realm of web developers. Web developers come in here specifically for one thing, and that is tracking. So when someone clicks an ad and then they go through a call and a message, eventually end up in in your website and finally buy something twenty five days later, tracking allows you to tell this ad made this sale. It just took twenty five days to get there. And that’s what Google tracking and Facebook tracking is all about. Facebook tracking is called a pixel, and Google tracking is called Google Analytics.

And this is stuff really for your web developer, but this is where it lives. It lives in here, data sets and pixels, but we’ll ignore this for the moment.

If you have multiple users and they request something, for instance, requesting access to a new thing, in the request tab down here, This is where it’s going to pop up.

Onto brand safety and suitability.

This is all about telling Facebook what you own on the Internet that it doesn’t know about. So what that means is that Facebook knows that you own your business portfolio, knows you own your WhatsApp once you add it. It knows you own your Instagram and your Facebook pages once you add them, but it actually doesn’t know about your website.

Your website doesn’t belong to Facebook. It belongs to you. And you need to tell Facebook, yes, this is my website, and here is proof that I own it. And when you do that, Facebook trusts you more. And when people click links on your Facebook page to go to your website, it knows that that’s desired behavior and not some sort of hacking or spam. So what we do is we go down to domains here, and I’ve already added mine. But what you do is you click add, create a domain, and you put in your domain here like that, and you hit add.

So now I’ve got two here. And what you need to do with these domains, it’s not enough to just put the domain here. Job done. And that’s because a hacker could do the same thing. They could create a fake business portfolio and they could try to add your domain here and try to trick Facebook into thinking that they own the domain instead of you. So what you need to do is you need to verify that domain. And the easiest way by far is to click here and go to update DNS text record with your registrar.

Now, who is your registrar? It’s the person that’s keeping the registration of your domain name. So in a previous video, I showed you how to purchase a domain name from Micron twenty one. There are loads of examples of companies. I just chose that one for ease. And what you do is you log into your Micron twenty one business account and you navigate over to the records tab by going to manage domains, DNS, manage records. And in there, you follow these instructions.

And what it’s telling you to do is to add a record of the TXT type, meaning text record, and copy this text here, just this text, and paste that into the text record.

And when you do that, you’ve put a permanent record on your account in the domain that lives there. And what Facebook does is then it can go to Andy small business dot com dot a u, and the registrar will say, yeah, that text has been pasted there by someone who logged in legitimately. Then Facebook knows, oh, it must have been you and it must have been real. Now this is a web developer task, so I’m not going to continue into that.

But you can also Google about it if you need to do it yourself.

Moving down, we have integrations here, and I’m going to say nothing about integrations. This is web developer territory if you’re doing apps. And realistically, this is far beyond the realm of this course altogether.

But this one here is super important, and this is billing and payments. This is your territory, even if you have an IT person.

When you click this, you can see this nice icon on the right here means it’s going to pop out as a new tab. So I’m going to click billing and payments.

It’s going to open that new tab.

And here we are. We are now in the billing section.

Always make sure that you are in the correct business portfolio because sometimes you’ll actually accidentally create a personal portfolio, which will have your name. And Facebook loves to log into the personal portfolio instead of the business one when you change tabs. So always click here. Make sure you’re in the correct one before you start.

We’re going to pop down to your payment methods, and we’re going to click add a business payment method.

And I have to assign my finance editor. That’s fine. I’ll take that role for now.

And here, I can add in my debit card or my credit card and hit next.

Now while we’re on this page, I do want to tell you one important thing, which is Facebook is probably one of the most hacked financial services in the world because of how much money moves through Facebook. So if you ever get frauded in the future, chances are they will go to Facebook and they’ll spend your money on Facebook because of how quickly they can move the money.

I would actually recommend that this is one of the services where you get a dedicated Facebook account credit card from your bank.

That doesn’t mean that it’s got Facebook on it. I just mean you need a separate credit card that you only use for Facebook.

And you should put an extremely low credit limit and spending limit on this card with no ability to exceed that limit. That way, you can really manage the fraud risk.

And the other reason that you should get a credit card is credit cards have substantially better anti fraud protection than debit cards do, and it is a way to get out of a lot of trouble.

Remember, this is not financial adviser advice. This is just something you should research further.

I’m not going to add my card right now because I don’t want you to see it.

But once you’ve added your card, you can start to pay for ads on Facebook and Instagram. And any billing that happens will happen in this payment activity tab here. You can come here. You can download your invoices. You can hand them to your bookkeeper, or you can do the bookkeeping yourself. That’s where it’s all going to happen.

If you do have multiple ad accounts, they’re going to pop up in this top right corner. And so we’re in payment activity, ad accounts.

And up here, you might have two or three ad accounts.

Each ad account will have a separate billing and transactions list. So make sure that you flip between them and find all of your invoices.

Okay. So that was billing. I’m going to close out and go back to our main meta business suite page.

And down the bottom, let’s just go through some of these extra ones. Everything underneath billing and payments, think of it like a quick link. It’s not the main sections. It’s just ways to get things done faster. So you can ignore all of these, but you can also explore them if you need a quick way to get through things.

I’m going to ignore meta verified news pages, partnership ads, and I’m going to jump down to security center here.

Now you may remember when we verified our account, we got thrown over to this page automatically.

And wow, look at that. Since we started, I have actually gone from pending to verified. So that’s wonderful. Thank you, Australian government, for having digital connections because it speeds up the process dramatically compared to submitting paper forms. So fantastic.

But there’s various things on the security tab that can go on. First and foremost, you need to make sure that you are requiring two factor authentication.

In this case, you can require it if every single staff member who has access to your account or just the admins only if if you just want to protect the higher level functions. Admins only is fine for me. You have to decide that yourself.

Once you require that, each person when they log in, they’ll be prompted to set up two factor authentication, meaning that they’ll put in their username, they’ll put in their login, and then they’ll have to provide that extra level, which is usually a code sent to their phone or a code from their authenticator app. And that keeps the hackers out.

From this page, you can add another business admin.

And you can see that Facebook’s advice is that you should have two admins as well because then you you don’t get locked out of your account as easily.

Okay. After this, let’s go to the notifications tab.

And I’m going to let you know I’ve been hard at work on this tab already. When you first come into this tab, everything is going to be clicked on, meaning that they’re going to spam you with emails. They’re going to spam your Facebook notifications page with all of the notifications. And even your personal page is going to be filled with notifications. Really frustrating.

What I recommend most people do is they come down here and they turn off every single one that says notification all the way down so that only email is on. That way, when Facebook wants to tell you something’s happened, they will only tell you by email. This is so much better for your work life balance and keeping your headspace clear when you’re not at work. Because if you open up your personal Facebook account, you don’t wanna be seeing work stuff. That’s not good.

After that, you may want to come in and turn off email for some extra things. I don’t ever need to know about catalogs, so I turned that off.

I don’t need to know about newsletters or program information or marketing updates or events, So I turned all of those off as well. And I’ve just left on important things like Facebook pages, ad accounts and WhatsApp accounts. These are things that matter to me.

Moving on.

If you have an important task to do and you can’t find the correct page to go, if you come to set up guide, there are four quick links to get you going. Create ad account, invite people to your account, add an Instagram and add Facebook pages. So this is a really good place to just get everything done fast. But it is just a quick link. It’s just going to punch you straight back up to the other sections that I’ve already talked about.

And lastly, this is the other important one, and this is business assets.

So what is an asset? An asset is any single thing in your business portfolio that you own. So we own our Facebook page. We might own a web app. We own our domains. All of these things, we own our ad accounts.

If you’re having trouble finding a specific thing, everything that you own will be listed in the business asset section, and it’s a very quick way to come in and just fix things. So I can come in here. I can click my web app up here called social login, and I can assign a person to it, meaning that I can give someone access to it, which is a really quick way to to give access. I can also come over to my domain name here, which isn’t verified yet, and I can figure out how to do the verification step. So I can go and do that very fast. Super simple.

Last tab we need to talk about is authorizations and verifications.

Now, if you are in a protected field such as health and wellness, gambling, cryptocurrency, dealing with Taiwan, dealing with India, any of these things, you may need special additional licensing and verification. And this all happens in this verifications tab.

As an example here, any cryptocurrency ads must be authorized to ensure that people aren’t spamming cryptocurrency ads. If you want to have a phone number, which you do, you have to come in here and you have to verify that phone number. And this just creates trust and keeps the hackers low.

Lastly, down the bottom, we have ad account settings.

And this is because ads are such a huge part of Facebook that they’ve built an entirely separate section of the website just dedicated to the settings for ads. So if I click this, you can see the little icon has the pop out icon, meaning that it’s going to open in a new tab.

And here is my ads manager. It’s a totally separate section. It’s called ads manager, and it has its separate set of tabs. It has its own account overview, campaigns, audiences, its own billing section, and more.

This is not Meta Business Suite. This is now Meta Ads Manager, and this is a separate program that lives alongside Meta Business Suite so that you can control your ads all in one place. So when you get to this one, just remember, oh, I’m in Ads Manager. That means I’ve popped out of Meta Business Suite.

If you need to go back to Meta Business Suite, just write business dot facebook dot com, hit enter, choose the correct business portfolio and get back over there.

Okay, we are on the home stretch now, and there is one last thing that you need to know to navigate Meta Business Suite without being overwhelmed. And that is what are all these buttons on this left side?

All of these buttons are not Meta Business Suite. These are quick links to other services and functions in the Facebook ecosystem.

So everything that we’ve been doing is in business dot Facebook dot com. And from there, you can get to your ads, you can get to your billing, you can invite people to your account, you can add Facebook pages and do all of that. What is this? This is the granular things that your staff will use to do granular tasks on a day to day basis.

Let’s go through a few quick ones.

There’s a notifications tab up here for any ads, businesses, and profiles notifications if you’ve left notifications on.

There’s an inbox tab over here, and that will have every single Facebook and Instagram message sent to you all in one place will be in this inbox. So you can get a staff person to open up this inbox tab, and they can receive all of the messages in one place and respond to them and get your bookings and sales. Very useful.

Down further, there are some quick links such as insights and ads and even more. But remember, these are sending you away from Meta Business Suite. These are sending you to specific tasks. So you don’t want to be using these tabs unless you know where you’re going.

The last one I want to talk about is up here, and that is home.

This home button up here, that is not Meta Business Suite home. This is usually actually going to send you to your Facebook page.

So once you set up your Facebook page, if you hit home, it will usually throw you over to one Facebook page or all Facebook pages at once.

So this really is a link out of the Meta Business Suite. Just bear that in mind when you’re going forward.

That’s as far as this video goes about getting the Meta Business Suite sorted. You’ve gone in, you verified your account, you’ve added a Facebook page, you’ve linked your Instagram, you’ve linked your WhatsApp business number.

All of that is done.

Once the verification is good, you can add some ad accounts so that you can create ads. And all of this is starting to link together. You can then give access to staff so that staff can go to those Facebook pages and to the inbox and they can respond to messages and manage the Facebook pages and the Instagram content.

Lastly, why are we doing all of this? Let’s step back and remember, we’re doing this to make sales.

We’re going to advertise to people. Those people are going to be sending us messages. We’re going to be receiving those messages in the inbox, and we’re going to be making our sales. Or we’re going to be making ads.

Those ads are going to fill up sign up forms. Those sign up forms are going to a data page, and we’re going to read that and call them and make sales. Or lastly, we’re going to do ads. We’re going to skip everything.

We’re going to send them straight to our website, and our website’s going to make the sale. All of this is the purpose. Keep that in mind as we do everything from here, and I’ll see you in the next video.
